We are looking for a Resourcing Lead for our software house, responsible for sourcing and acquiring top talent to meet the staffing needs of our dynamic projects. This role involves identifying, attracting and evaluating candidates, ensuring we have the right team in place to deliver high-quality software solutions. This role plays a pivotal role in building and maintaining our workforce and ensuring alignment with the company's strategic objectives, fostering a culture of growth, and innovation.


Resourcing Lead

Software Talent Acquisition & Staffing Support

CoE: 8000 - 9000 gross PLN 💰

LOCATION: POLAND (POZNAŃ/HYBRID/REMOTE)

* We offer a fully remote job, but we still believe that team spirit makes a better team! Therefore, when working remotely, we require the employee to appear at our headquarters in Poznań at least once a quarter.

Scope of responsibilities:

1) Resource Planning and Allocation

  • Assigning available staff to projects based on their skills and experience,
  • Ensuring resources are allocated efficiently, taking into account skills, availability and project budgets,
  • Conducting capacity planning to ensure the organization has enough resources to deliver upcoming projects,
  • Optimizing the use of a bench.

2) Client Interaction

  • Engage with clients to understand their project requirements, timelines, and expectations, ensuring alignment with available resources and project budgets,
  • Act as a primary point of contact for clients regarding resource allocation and management, providing regular updates and addressing any concerns or requests promptly,
  • Collaborate with delivery managers to communicate effectively with clients, providing transparency and clarity,
  • Proactively identify opportunities for additional support or resources that may benefit the client's projects, and work to fulfill these needs in a timely manner.

3) Hiring and Recruitment

  • Supporting hiring managers in hiring new staff in accordance with project budgets and requirements,
  • Understanding the needs of each project and recruiting individuals with appropriate qualifications,
  • Collaborating with HR to streamline the hiring process and define roles for new hires,
  • Utilizing the network of trusted partners for augmentation with subcontractors.

4) Ongoing Resource Management and Support

  • Providing delivery managers with continuous support in resource management,
  • Monitoring employee utilization, workload and overtime hours,
  • Addressing resource concerns by reallocating staff, adjusting goals or assigning additional personnel as needed,
  • Collaborating with project managers to ensure smooth ongoing resource management efforts.

5) Contract Negotiation

  • Negotiating rates,
  • Negotiating agreements and project orders with subcontractors,
  • Reviewing contracts and liaising with legal,
  • Managing contract renegotiation, amendments and extensions,
  • Improving the existing framework of documents on the employee/subcontractor side,
  • Aligning the existing framework of documents with client-facing documents.

6) Financial Management and Budgeting

  • Collaborating with delivery managers and finance teams to develop project budgets,
  • Ensuring resource allocations align with project budgets and financial constraints,
  • Providing cost-related insights to delivery managers and making adjustments as necessary to stay within budget constraints,
  • Working closely with finance teams to forecast and plan for resource-related financial needs,
  • Maintaining a high level of cost awareness throughout resource allocation and delivery management processes.

7) Other

  • Building a network of consultants and product partners while collaborating with consulting department and delivery managers to optimize their utilization.


Here’s a set of skills we require:

  • Contract review and negotiation skills & ability to effectively communicate with lawyers (previous experience in collaborating with legal office would be a plus),
  • Experience in the recruitment area, both at the operational and strategic levels.
  • Demonstrated experience in a similar work environment as Espeo Software,
  • Strong sense of accountability (we mean it!), 
  • Excellent communication skills,
  • Willingness to undertake business travel when necessary (approximately 2 times per year),
  • Proficiency in both English and Polish languages.

Job requirements

Navigating the Hiring Process: What does the recruitment process for that position look like? 🍀

1. HR Screening with Recruiter, Emanuela Bodziewska. This stage will take approximately 45 minutes. A member of the recruitment team will explain the structure of our company and the specifics of the position. Additionally, you can ask as many questions as you like to ensure that we are the ideal workplace for you.

2. Interview with Delivery Director, Tomasz Liberski. The meeting will last approximately 60-90 minutes and will focus on key competencies and your experiences from the perspective of the Delivery department.

3. Interview with Operations Director, Dawid Gałat. The meeting will last approximately 60-90 minutes and will focus on key competencies and your experiences from the perspective of the Operations department.
